The Transitions of Care (TOC) Administrative Assistant (AA) performs a variety of administrative functions. This position reports to the program director and provides assistance utilizing clerical support skills to maintain departmental operation. The TOC AA uses sound judgment in decision-making, problem-solving and project coordination in a fast-paced, high performance environment. The AA acts as a role model to peers fostering teamwork, collaboration, and integration among team members and leaders.

Responsibilities

A day in the life of a Transitions of Care (TOC) Administrative Assistant (AA) at Hackensack Meridian Health includes:

  • Completes a broad variety of administrative tasks for the leaders or department to include management of calendars, travel, expense reimbursement and document creation. Works closely and effectively with the leaders to keep them informed of upcoming commitments and responsibilities. Uses critical judgement to prioritizes tasks given by project leaders based upon knowledge of the project. Organizes workflow, including scheduling projects and setting deadlines on behalf of the work group. Coordinates meetings, training, events and patient follow-up phone calls with minimal to no supervision.
  • Schedules appointments and maintains calendars. Coordinates meeting arrangements including room, equipment, and other specialty items as needed. Appointments are kept accurately. Arrangements for equipment are handled accurately and within the appropriate time constraints. Services are requested timely so that the staff has internal support services available when needed.
  • Prioritizes patient phone calls through the screening process, transfers calls, records messages, and delivers to appropriate personnel.
  • Expense and budget reports are prepared in a timely and accurate manner by the AA. Department invoices are processed timely and the budgets are tracked and adhered to with little or no variance. Handles office/department needs from supplies to vendor management.
  • Coordinates special projects as instructed, composes memos, and transcribes notes.
  • Generates reports, handles multiple projects, and prepares and monitors invoices and expense reports.
  • Takes and/or transcribes minutes at meetings.
  • Reviews and distributes daily mail correspondence to appropriate personnel.
  • Orders office supplies and maintains inventory.
  • Maintains up-to-date departmental manuals and files.
  • May assist with compiling and developing the annual budget.
  • Meets both department and individual goals.
  • Adheres to the standards identified in the Medical Center's Organizational Competencies.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Proficient in Google Docs Applications.
  • Experience in health care or corporate sectors.
  • Minimum of 2 years of experience in the field or in a related area.

Education, Knowledge, Skills and Abilities Preferred:

  • Associate degree or bachelor's degree in business, healthcare, or related field.
  • Bilingual
